- Pair a phone by scanning a QR code, or connect Meta’s official WhatsApp Business Cloud API with your own credentials. Each workspace uses one method, and the Orbit team switches it for you.
- An inbox built for a team
- Open, snoozed and closed views, “assigned to me” and “not assigned” filters, and lead stages on every conversation. Reply or leave an internal note for a colleague.
- Send business documents where customers already are
- Quotations, invoices and campaign broadcasts can go out over WhatsApp from the record itself.
- An AI agent with a short leash
- Switch the agent to Auto, Paused or Off per conversation. With customers it can only look up products, answer from your knowledge base, take a callback request, report a customer’s own status, share business hours or hand over to a person.

- Every job records the client, the service location, the products and the value, and whether it is a one-off visit or part of a contract.
- A schedule the whole office can read
- Timeline, day, month and per-person calendar views, with confirmed and unconfirmed visits kept apart and a printable day sheet.
- Contracts with customer signature
- Draft contract documents from templates, send them for e-signature, and see which contracts are expiring before revenue quietly lapses.
- Service reports customers sign
- A step-by-step report with checklists, photos and voice notes, signed by the technician and the customer on the phone, or by the customer later through a link. Reports can also be uploaded in bulk.
- Materials and technicians
- Issue materials to jobs, split them across technicians and record returns. Technicians get a role that shows them their own work and little else.

Invoicing & payments in detailInvoices come from the job or quotation, not from a blank page. Payments are allocated against them, recurring billing runs itself, and every figure flows to the books.
- VAT invoices from real work
- Create an invoice from a job, a quotation or from scratch. Totals, VAT and numbering are calculated by the server, so the PDF, the list and the ledger always agree.
- Payments that settle the right invoices
- Record a payment once and allocate it across one or more invoices. Unapplied credit stays visible until it is used.
- Recurring invoices
- Set up contract billing once and Orbit generates each invoice when it falls due.
- Expenses and reimbursements
- Categorise spending, route it for approval and reimburse staff. Scan a receipt photo or PDF and the AI fills in the expense for you to check.
- Bank and cash accounts
- Keep each bank, card and cash drawer as an account with its own transactions, transfers and reconciliation history.
- More than one currency
- Documents can be issued in any ISO currency, with the conversion rate you record used when it posts to the books.

- Raise, send and track orders from draft to billed. When stock tracking is on, closing an order adds the quantities to stock.

- Pay one or several bills, from the right bank or cash account, and keep the vendor balance current.
Accounting
Accounting in detailEvery invoice, payment, bill and expense posts to a double-entry general ledger as it happens. Reconcile the bank, close periods and produce statements without exporting to another system.
- Posting that happens by itself
- Invoices, payments, bills, payments made, expenses and transfers create their journal entries automatically. Manual journals are there for everything else.
- A chart of accounts that fits
- Build or import your chart of accounts as a tree, set opening balances, and map categories to accounts, so pest control revenue and deep cleaning revenue land in different accounts without editing each product.
- Bank reconciliation
- Import a bank statement as CSV or Excel. Orbit suggests matches with the reasons it chose them, applies your rules, and flags duplicate lines instead of dropping them.
- Periods and year-end
- Fiscal years, accounting periods and a year-end close keep last quarter’s figures where you left them.
- Statements and tax
- Trial balance, profit and loss, balance sheet, cash flow, cash book, day book, general ledger, AR and AP aging, and a VAT report built from the ledger.
- Ledger integrity checks
- A dashboard that tests whether the sub-ledgers and the general ledger agree, so problems surface before the accountant finds them.

- Press ⌘J or Ctrl+J anywhere and ask about leads, deals, invoices, jobs, schedules, tasks or expenses. It searches, reads and adds up records, then answers with links to the records it used.
- The WhatsApp agent
- Answers customers from your knowledge base and product list, takes callback requests and hands over to a person. Staff can also ask it to act on records within their own permissions, with confirmation for anything that moves money.

- Rewrite an email before it goes out, scan a receipt into an expense, or describe a role in plain words and get a permission set to review.

Automations
Automations in detailWrite a rule once: when something happens, check a condition, then act. Orbit runs it every time, logs what it did, and never does more than the person it runs as could do.
- Triggers from real events
- A lead created, a deal moved, a quotation accepted or signed, an invoice overdue, a job completed, a form submitted, a WhatsApp conversation started, and many more across 26 record types. Scheduled sweeps catch things that happen by date.
- Conditions and branches
- Filter on any field, including your own custom fields, and branch with if/else or switch steps. Add delays between steps.
- Actions that do the work
- Create or update tasks and records, log an activity, change a stage, notify a person, send an email or a WhatsApp message, or call a webhook in another system.
- A run history you can trust
- Every run is logged, including runs a condition filtered out, and a failed run can be retried with the original data.
- Safe by design
- Each rule acts as a named user and is limited to that user’s permissions. Loops between rules are detected and stopped, and rules pause when their module is switched off.

Local Mode
